Overview
An international community organisation that is dedicated to making a positive impact in the lives of children, is currently seeking a skilled and motivated individual to join its Cape contingent as a Bookkeeper and Retail Manager. The position presents a unique opportunity for someone to contribute to the organisation’s mission. Hours of work are Tuesday to Thursday 8am – 4pm, salary R12 000 gross. The Cape office is based in Pinelands.
Responsibilities:
Bookkeeping Tasks:
Accurately record financial transactions, including expenses and income.
Generate and send invoices to clients, ensuring prompt payment follow-up.
Reconcile bank statements, identifying and rectifying discrepancies.
Categorize and track business expenses, maintaining accurate records.
File all financial documents daily and ensure logical filing within the existing system.
Add bills due for payment to the schedule, informing relevant parties when necessary.
Forward payroll details to the Accountant and update the payment schedule.
Prepare regular financial reports, including profit and loss statements.
Be familiar with NPO bookkeeping practices
Collaborate with accountants to organize tax documents and ensure timely submissions.
Assist in the creation and management of budgets.
Provide recommendations for improving financial performance.
Utilize QuickBooks Online for efficient bookkeeping management.
Retail Manager Tasks:
Monitor and maintain optimal stock levels, conducting quarterly inventory audits.
Create visually appealing product displays and enhance the overall shop layout.
Address customer inquiries and concerns, ensuring excellent customer service.
Place orders with suppliers to replenish stock in a timely manner.
Oversee cash transactions, maintain accurate records, and enforce cash handling procedures.
Plan and execute promotions and marketing initiatives, utilizing social media for promotion.
Generate regular reports on sales and inventory, analyzing data for decision-making.
File all documents daily, maintaining clear and logical filing within the existing system.
Host a pop-up shop at key regional events (3-4 times per year).
Other Tasks:
Answer telephone calls and respond to emails within 24 hours.
Monitor and procure office stationery and consumables.
Create and maintain task-specific Standard Operating Procedures (SOPs).
Perform general office duties and provide overall assistance to ensure the smooth operation of the office.
Requirements:
Proven experience as a bookkeeper in a similar role.
Solid knowledge of accounting/bookkeeping principles and practices.
Proficiency in QuickBooks accounting software or similar.
Competency in all basic computer literacy packages such as Outlook, Excel, PowerPoint, Internet.
Attention to detail and accuracy in data entry.
Ability to use initiative and develop effective and constructive solutions to challenges and obstacles.
Familiarity with tax regulations and compliance.
Excellent organisational and communication skills.
A degree or certification in accounting or related fields would be an advantage but not essential.
Own transport is essential.

3-day work week (Tuesday – Thursday)
15 days’ vacation per year. Leave is to be utilised while the office is closed during the June/July and December school holidays (these periods are determined at the end of each preceding year).
